Third Party Administrator (TPA)

A Third Party Administrator (TPA) is an IRDAI-licensed entity that processes health insurance claims and cashless approvals on behalf of insurers.

What is a TPA?

A Third Party Administrator (TPA) is a company that handles health insurance services on behalf of an insurer. In India, TPAs must be licensed by the Insurance Regulatory and Development Authority of India (IRDAI) and work under its regulations. The insurer still carries the risk and makes the final payment; the TPA administers the process.

Typical TPA services include:

Some insurers process claims in-house instead of using a TPA. Either way, the steps are broadly the same.

Why it matters for employers

For employees, the TPA is often the face of the health insurance policy. When someone is admitted to hospital at midnight, it is the TPA desk that approves or queries the cashless request. A smooth TPA experience reduces stress for employees and escalations for HR.

When choosing or reviewing a group health policy, HR and benefits teams can ask:

  1. Is claims processing done by a TPA or in-house by the insurer?
  2. How are cashless approvals and discharge approvals handled, and what are the escalation routes?
  3. Is there a dedicated relationship manager for the employer?
  4. What claim and query reports will HR receive, and how often?
  5. How are employee health data and documents protected?

Example

An employee's daughter is admitted to a network hospital with dengue. The hospital's insurance desk sends a pre-authorisation request to the TPA, which checks the policy, confirms eligibility and approves an initial amount. At discharge, the hospital sends the final bill; the TPA reviews it, approves the payable amount and tells the family about any non-payable items, such as certain consumables. The insurer then settles the bill with the hospital.
